Equipment Loan Program

The CALTAP Equipment Loan Program offers California's local public agencies the free use of various devices that can assist in managing aspects of roadway signage and infrastructure safety. Our goal is to help you foster a culture of road safety, minimize traffic incidents, and promote responsible driving behavior.

How the Program Works

Each Equipment Loan Program device is available to eligible government agencies for up to four weeks. Loan requests are accepted via email on a first-come basis. We will reply by confirming availability (or if not immediately available, expected availability), the terms of our loan agreement, and the loan-out period. If an agency wishes to extend the loan-out period, you can submit an extension request or negotiate an extension upfront.

Once a loan agreement is executed, the equipment may be picked up at our facility or shipped to yours at no cost. There is also no cost to use the equipment, however your agency assumes all liability, both direct and indirect, from receipt to return, throughout the loan period. Your agency is responsible for maintaining proper care of the equipment and for packaging and shipping or delivering it back to our office by the due date. By agreement, all responsibility for loss or damage is assumed by the borrowing agency.

Generally, the process works like this:

  1. Complete and sign the Equipment Loan User Agreement. Please ensure all required fields are filled out accurately to avoid delays in processing. Email the completed form to admin@caltap.org.

  2. Our team will review your request and contact you to coordinate the loan. If the equipment is available, we will arrange shipment via FedEx or support pickup at our facility (address below). If not available, we will provide an estimated loan period and contact you when ready.

  3. Once shipped, you will receive a FedEx tracking number. Upon receipt, please inspect the package and verify that all equipment, accessories, and supporting materials are included and in proper working condition. Any missing items, damage, or operational issues should be reported immediately.

  4. While in your possession/use, your agency is responsible for proper equipment care and maintenance, and assumes all responsibility for any loss, theft, or damage.

  5. At the end of the loan period, repack the equipment securely using the provided shipping case and include all accessories and components originally received. If additional time is needed, contact us to inquire about an extended loan period.

  6. Either arrange to deliver or ship via common carrier to our address below. The return shipment must be insured against damage or loss up to $10,000.

The Equipment Loan Procedure

  4. We'll pay to ship to your agency
    (and send you tracking details)
  5. You confirm receipt & contents
  6. Use gear throughout loan period
  7. Repackage for return shipping
  8. Coordinate return with us
  9. Pay to ship back to our facility
    (and send us tracking details)
  10. or, request a no-cost extension!
